PE license renewal and PDH tracking for the whole firm

LicenseBook is a license tracking app for small engineering and land surveying firms that keeps every PE and PLS license, renewal date and PDH hour in one roster, checked against each state's rules.

The renewal spreadsheet

Four states, four deadlines, one Excel tab

  • Four states, four deadlinesAn engineer licensed in Texas, Oklahoma, Louisiana and New Mexico has four renewal dates, four fees and four sets of PDH rules. The spreadsheet has one column for all of it.
  • Certificates live in inboxesCourse certificates sit in personal email and desktop folders, so before every renewal the office manager asks for them again.
  • A lapse stops the stampA lapsed license means that engineer can't seal drawings or that surveyor can't sign a plat in the state, and a proposal that lists them is in trouble.
  • “Who's current in Texas?”When a proposal is due Friday, nobody can say in a minute who holds a current PE in the client's state through next year.

  1. A

A PE license renewal tracker for every state

Each engineer's and surveyor's PE, PLS, SE, EIT and LSIT licenses by state, with number, expiration date, fee and status. Lapsed and due-in-90-days licenses rise to the top of the dashboard.

  2. B

PDH tracking against each state's rule

Enter each board's hours per cycle, ethics minimum and carryover once. Log a course once, tick every state it counts toward, and each license shows hours earned and hours left this cycle.

  3. C

A renewal checklist on a calendar

Every license gets four steps when it's added: PDH checked 90 days out, fee paid at 45, renewal filed at 30, board confirmation by the expiration date. Move the expiration date when it renews and a fresh checklist starts.

  4. D

    Course certificates on file

Engineers and surveyors log their own courses from their phone and attach the certificate PDF or photo, so the office stops chasing email. (Team and Firm plans; on Starter the principal logs them.)

  5. E

Who is licensed where, for proposals

Filter the roster by state, license type and current-only, then export it as CSV for the qualifications section of a bid.

  6. F

    Bring your licensing spreadsheet

Import the roster you already keep, one row per license, and export it back any time. Nothing is locked in.

One 8-hour course, counted in three states

D. Alvarez takes an 8-hour stormwater design course and ticks Texas, Oklahoma and Louisiana. Each of her licenses adds the hours within its own renewal cycle and shows what's left, ethics included. She attaches the certificate from her phone; the office sees it the same minute.

How a renewal runs

The 90-day countdown on every license

Add your engineers and surveyors with their licenses by state, enter each state's PDH rule, and every license gets this checklist on the renewal calendar.

  1. 90 days

    PDH hours checked

The license card shows hours earned against the state's rule. Anyone short gets flagged on the dashboard.

  2. 45 days

    Fee paid

Log the renewal fee with the license so the firm knows what renewals cost this year.

  3. 30 days

    Renewal filed

Ticking it marks the license as filed, so nobody files it twice.

  4. Expiration

    Board confirmed

Confirmation sets it back to active. Enter the new expiration date and the next cycle's checklist appears.

Questions

PE and PLS license tracking, answered

How do I keep track of PE license renewals in several states?

Put each license on its own row with its state, number and expiration date, and track each state's PDH rule separately. LicenseBook does that per person: one card per license, a renewal checklist for each, and a dashboard of everything expiring in the next 90 days across the firm.

What are the PE license renewal requirements in each state?

They differ by board. Texas, for example, asks for 15 PDH a year including one hour of ethics, and New York asks for 36 hours every three years. LicenseBook doesn't guess: you enter each state's hours, ethics minimum and cycle length from the board's website, and it counts courses against that rule. Check the board before each renewal, since rules change.

Can I replace our PDH tracking spreadsheet?

Yes. Save the spreadsheet as CSV with one row per license (name, email, license type, state, number, expiration date) and import it on the roster page. Courses are then logged in the app, and the roster exports back to CSV whenever you want it.

Does it handle land surveyor license renewal too?

Yes. PLS and LSIT licenses work the same way as PE, SE and EIT: a rule per state, a checklist per license, and courses that count toward the states you tick.

We already use NCEES for PDH tracking. Why add this?

The NCEES tracker lives in each engineer's own account. The office can't see across the firm, and surveyors' boards may not use it. LicenseBook is the firm's view: every person, every state, every renewal date, in one place the principal and office manager both see.

What does each engineer see?

On the Team and Firm plans, staff sign in to log their own courses and upload certificates. They see only their own licenses, hours left per state and renewal dates, never anyone else's.

What happens after the 30-day trial?

Nothing is deleted. Choose Starter, Team or Firm when you're ready; until then your roster stays readable and exportable, but adding and changing records waits for a plan. No card is needed to start.
